Contests

CLUB CONTEST GUIDELINES FOR ROLE-PLAYERS

1. Contest Requirements

  • Speech Contest Rules.
  • Speaker’s certification of Originality.
  • Lots to determine speaking order.
  • Time Record Sheets & instruction to Timers.
  • Tally Sheets & instruction to Tally Counters.
  • Judging sheet.
  • Tie breaking Judging Sheet.
  • Participation / Winner Certificates & trophies.
  • Mementoes for Role-players.
  • Stop watch (2), Timing Device, Color Cards.
  • Envelop for each contest with all required materials.
  • Video Camera, Digital Camera etc.
  • Laptop / projector for display of names etc.
  • Speaker / Judge / Tally Counter / Timer Badges.
  • Clip Microphones.

2. President / VP Education / Treasurer

  • Determine the Budget.
  • Arrange for supplies such as Certificates & Trophies.

3. President / VP Education

  • Select a Chief Judge and Judges.
  • Select other role-players like timers (2), tally counters (2), s @ arms etc.
  • Notify officials / contestants / members about time, date and venue.
  • Ensure contestant is eligible before contest itself.
  • Ensure all contest materials are available at the venue.
  • Prepare an Agenda.
  • Promote contest.

4. Master of Ceremonies

  • Introduce the Contest Chairpersons for each contest.
  • Ensure that the schedule is followed & the contests end on time.
  • Recognize the efforts of all role-players.

5. Contest Chairperson

  • Ensure all contest materials are available at the venue.
  • Confirm participation of all contestants.
  • Confirm the availability of Judges.
  • Pre contest briefing.
    • Verify presence of judges & other role-players.
    • Have Chief Judge brief Judges & other role-players.
    • Decide position of Judges.
    • All judges to select three winners (except Tie-breaking Judge)
    • Verify presence of contestants & pronunciation of names.
    • Draw lots for speaking positions.
    • Prepare participation certificates.
    • Review contest rules with speakers.
    • Acquaint contestants with speaking area.
  • Start the contest with a brief opening address, informing the audience
    • Basic rules for the benefit of the audience.
    • That the rules have been reviewed with contestants.
    • That the contestants have been informed about the timing devices.
    • Protests will be limited to the Judges and Contestants.
    • Any disqualification will be announced prior to the announcement of results.
    • Judges decision is final.
    • Announce all Judges, Timers, Tally Counters & S @ Arms.
    • The speaking order of contestants.
    • Flash photography is prohibited during the speeches.
    • TO SWITCH OFF MOBILES DURING THE CONTEST.
  • During Contest
    • Introduction of each contestant.
      i. No detailed introductions.
      ii. Announce name & speech title at a slow pace and in this order
      “Name of Speaker, Speech Title, Speech Title, Name of Speaker”
    • Allow one minute of silence between each speech for Judging
  • Post Contest
    • Allow three minutes of silence for Judges to finalize results.
    • Distribute participation certificates.
    • Ask Tally Counters to collect ballots from all the judges.
    • Judging sheets, ballots, tally forms, timing sheets are confidential.
    • Give forms to chief judge for disposal.
    • Speech disqualification or protests - discuss with speakers & get approval.
    • Inform Audience about time disqualification – DO NOT DISCLOSE NAMES.
    • Collect contest result from chief judge & announce the results

6. Judges

  • Qualified Chief Judge from other Clubs / Area
  • Qualified Judges from other Clubs / Area
  • Chief Judge appoints Tie-breaking Judge
  • Tie-breaking Judge rates all the contestants while the Judges rates only 1st, 2nd & 3rd.

7. Timers (2)

  • Record timings of each contestant independently (will require two watches, two timing sheets & one timing device)
  • Identify disqualifications, if any and handover the timing sheets to the Chief Judge.

8. Tally Counters (2)

  • Collect ballots from all judges after each contest.
  • Fill the tally sheets under the supervision of Chief Judge.
  • Mark 3 for first, 2 for second, 1 for third for each judge.

9. Sergeant @ Arms

  • Distribute Badges to contestants according to speaking order.
  • Escort contestants (evaluation & table topics) to a different room.
  • Assist speakers with Clip Microphones etc.
  • Prepare presentation with contestant names, speech titles etc.
  • Overall assistance in the smooth conduct of the contest.
